Administrative Assistant

Manifest is seeking a dynamic, organized, and energetic person to fill the primary support position of Administrative Assistant. The ideal candidate for this part-time position will play an important role in the operation of this young and rapidly growing non-profit arts organization, will work directly with the Executive Director and Assistant Director, and also must be able to work independently. The schedule for this position is flexible. Candidates must also be flexible to accommodate occasional special events/needs.

The Administrative Assistant must understand and support the mission of Manifest, and should have at least a basic interest in the visual arts. It is preferable, but not required that applicants have a college degree in business/management field as well as familiarity with non-profit operations. Training or equivalent experience in office management/organization and some bookkeeping is highly recommended.

The position offers the chance to interact with visual artists from all over the world, and to be a part of the creative energy at Manifest. The opportunity to help shape the Organization, and influence operations for the coming years is a unique benefit. Position: Administrative Assistant
Location: 2727 Woodburn Ave, Cincinnati, OH 45206
Hours: 20 hours/week
Salary: $10/hr (Flexible regular schedule)

Reports to: Executive Director and Assistant Director

Responsibilities include:

• Assist Executive Director and Assistant Director in day to day operations

• Maintain accurate records and statistics for Manifest's activities, programs, funders, including historical documentation, and various databases (stats)

• Maintain effective filing system for paper and digital documents (office filing)

• Manage routine bookkeeping; reconcile monthly bank statements and work with Directors and CPA to fulfill tax, employee and other financial requirements. (financial)

• Serve as primary staff member responsible for developing and maintaining distribution channels for Manifest publications, and overseeing this distribution. (INDA/INPA distribution)

• Work with grants/fundraising committee to provide data and help prepare grant applications and final reports, as well as maintain an ongoing grant reporting process (grants)

• Assist with events, sales, and PR efforts.

• Oversee/organize all postal mailings, including postcards, prospectuses, membership communication, and annual membership campaigns.

• Prepare gallery text (labels, price list, and catalog text, etc) for all new exhibits.

• Manage and fill all internet book orders/inventory (via Paypal and Amazon.com)

• Support the operation of the Manifest Board of Directors by attending and documenting all meetings.

• Work with and supervise student interns and/or volunteers in a case-by-case basis.

• Routine clerical tasks including ordering/purchasing of supplies, inventory, etc.


Qualifications:

• Strong organizational and verbal/written communications skills
• Experience in office management, setting and juggling priorities, and making very efficient use of time.

• Be a self-starter with strong initiative and work ethic

• Familiarity with the Macintosh operating system, Microsoft Word, Excel, PowerPoint, and File Maker Pro.

• Expertise with Quickbooks accounting software, bookkeeping processes, and database management is highly preferred but not required.

• Willingness to be trained in the use of accounting software is a must.

• A friendly, outgoing demeanor, and a desire to help grow the young non-profit Manifest into an exciting and mature organization are essential.

• Position requires a bachelor's degree with office experience, or equivalent combination of education and experience.

About Manifest:

Founded in May of 2004, Manifest Creative Research Gallery and Drawing Center is a 501(c)(3) non-profit arts organization headquartered in the urban neighborhood of East Walnut Hills in Cincinnati, Ohio. The elegant street-level exhibition space is minutes away from downtown Cincinnati, and the numerous academic institutions of higher learning in the region. It is also within easy walking distance of a diversely populated historic neighborhood with residents from all walks of life. The galleries are free and open to the public five hours a day, five days a week, presenting works by students and professionals from all around the world. The Manifest Drawing Center Studio is located nearby in the Essex Studios Complex in Walnut Hills. Manifest is supported by grants and public donations and has the goal to support student professionalism, integrate the arts into the urban residential community and raise the bar on artistic standards. The mission also includes the exploration of the relationship between art and design, as well as the ongoing support and display of drawing in all its various forms.
